Specify when Notifications Should be Sent

When a document is submitted for processing and approval, a workflow instance is created. You can send notifications to users when workflow instances (based on this workflow) are started, completed, terminated, or stopped because of an error.

Use the following steps to specify when notifications should be sent.

1. Click
Notifications in the Action Pane.

2. Select the check box for the event that will trigger notifications.

3. Select the entire row of the event that you marked in the previous
step.

4. Click the Notification text tab.

5. In the text box, enter the text of the notification.

6. Click
Insert placeholders if you want to personalize the text

7. If you want to add translations for the text, click
Translations.

8. Click the
Recipient tab.

9. Specify who should receive the notification. Select one of the following options.

a.
Participant: If you select this option, click the Role based tab to select the appropriate role.

b.
Workflow user: If you select this option, click the Workflow user tab to select a participant of this workflow.

c.

10. Repeat this procedure for each event that will trigger notifications.
